Job Description
Director of Finance
Primary Responsibilities
• Continually analyze and evaluate internal financial systems, and establish and oversee implementation of long-and short-term plans, policies, procedures and controls to ensure an effective, efficient and stable financial infrastructure.
• Oversee the development and management of the annual operating budgets in collaboration with the Executive Director; and facilitate the budgeting process, including working closely with program managers and making recommendations to Executive Director. Develop long-range, capital and other special budgets.
• Oversee and direct review of all bookkeeping and day-to-day accounting work for the organization performed by the bookkeeper, including review of the processing and class coding of bills, checks payments, deposits and credit card transactions.
• Oversee and direct review of all accounting and finance activities to ensure the fiscal integrity and accuracy of annual audits, tax reports and other required filings.
• Oversee human resource needs including all aspects of payroll, pension plans, unemployment, and other employee benefit programs as needed.
• Review income and expenses by program, including direct and allocated expenses, to monitor compliance with restricted funding sources; generate program reporting as required by funders; review of functional allocation of expenses booked by the finance staff assistants.
• Support grants proposal, maintenance and reporting processes with development department.
• Coordinate and oversee the production and presentation of financial reports as required.
• Coordinate and oversee the work of external auditors.
• Provide for regular and detailed reporting for individual program as well as monthly tracking and reporting actual versus budget.
• Work closely with the Executive Director to maintain the organization’s fiscal health by providing monthly Income & Expense reports and cash flow projections.
• Oversee the maintenance and preparation by the Finance staff assistants of records for payroll services, taxes, development reports and audits.
• Oversee bookkeeper.
• Oversee the billing process with the New York City Department of Education.
• Oversee maintenance of the general ledger, including schedules of all balance sheet accounts including preparation of bank reconciliations.
Member of Executive Staff
• Execute a high level of fiscal control, leadership, vision, judgment, and communication skills.
• Participate in strategic direction and execution, both ensuring its future direction and enhancing its present position in terms of institutional capacity, and earned and contributed revenue strategies.
• Comfortable working directly with Board of Directors and Finance Committee.
Qualifications
• Five or more years of substantive experience in accounting for 501(C)(3) organizations, financial analysis, and budgeting with extensive knowledge of financial principles and practices in nonprofit organizations, including 501(c)(3).
• Knowledge and experience with A/R, A/P, G/L, reporting, billing, and payroll.
• Strong computer skills, including experience with MS Excel, Great Plains Software and FRx Reporting Software are preferred but similar software programs are acceptable.
• Proven ability to plan and implement financial systems and procedures which allow an organization to operate smoothly, flexibly, and with integrity.
• Excellent verbal and written communication skills.
• Proven ability to build staff cohesiveness and collegiality through honest and clear communication; ability to work effectively with all levels of staff.
• Ability to establish priorities and juggle numerous assignments at one time.
• Strong organizational skills and the ability to work independently as well as in a team environment.
• Discretion, maturity, and composure, especially under pressure.
• Bachelor’s degree in finance, MBA preferred.
• Interest/knowledge arts education, or the performing arts is an asset.
